## Key takeaways

- Start with a specific staff workflow and a known source of data.
- Separate viewing information from authority to change it.
- Measure completed work and exception handling rather than dashboard activity.

Vibe coding can help build internal tools when the workflow, data sources, and staff permissions are clearly defined. A useful first scope might be an approval queue, an operations dashboard, or a task-tracking interface. Treat the app's ability to change business records as a separate design decision from its ability to display them.

OWASP's [authorization guidance](https://cheatsheetseries.owasp.org/cheatsheets/Authorization_Cheat_Sheet.html) recommends practices such as least privilege, denying access by default, and checking permissions on relevant requests. Those principles apply to internal applications as well as customer-facing products.

## Which internal workflow is a good starting point?

Choose a task staff already perform repeatedly and can explain from start to finish. For example, a purchasing team may copy requests between a form, a spreadsheet, and an email approval chain. An app could organize that particular flow without attempting to replace the entire finance system.

Map the input, decision, resulting record, and exception route. Identify which existing system remains authoritative for supplier details, budgets, and purchase orders.

If different teams use different meanings for the same field, agree the definition before building a dashboard around it.

## What permissions should the app have?

Define staff roles in terms of actions. A requester might create a draft, a manager might approve it within an agreed limit, and finance might issue the final purchase order. A user who can view a request should not automatically be allowed to approve it.

| Action | Example permission question |
| --- | --- |
| View a record | Which team or organization may see it? |
| Change a draft | Who owns it and when can it be edited? |
| Approve a request | Which role and limit apply? |
| Export records | Does the user need all included information? |
| Run an integration | Which system identity performs the action? |

Enforce the relevant rules beyond the screen. An internal URL and a staff login do not by themselves establish that each business action is authorized.

## How should the app handle unreliable data?

Show when information was last refreshed and what happens if a source is unavailable. A dashboard that silently displays stale figures can mislead a team even when the page loads normally.

For a data-changing workflow, verify the destination record. If an integration fails after the user clicks Approve, the app should retain a clear status and an appropriate retry or recovery path.

In an illustrative pilot, ask staff to process ordinary requests and a few known exceptions. Record duplicate entries, unclear approvals, manual corrections, and time spent recovering failures. Those observations are more useful than the number of dashboard visits.

## What should we plan beyond the first version?

Assign an owner for access changes, workflow rules, and integrations. Staff roles and external systems will change; the app needs a process for keeping up with them.

Keep audit information appropriate to the business actions. The team should be able to establish who requested or approved a change and what record resulted, without filling logs with unnecessary sensitive content.

Agree how support will work if the tool becomes essential. A small internal app can create a large dependency once several teams organize their day around it.

## Replace one manual workflow with a usable staff tool

Bring a representative request and the systems involved. [Discuss an internal-tools project](https://foundrysoft.co/services/vibe-coded-internal-tools) to define the workflow, access rules, integration scope, and acceptance checks before implementation.

## Frequently asked questions

**Can we build a dashboard without changing our existing system?**

Often a read-only integration is worth evaluating. Confirm supported access, data definitions, refresh needs, and the effect on the source system before choosing an approach.

**Is an internal app lower risk than a customer app?**

Its exposure may differ, but staff tools can access important records and actions. Assess the actual privileges and consequences rather than relying on the internal label.

**Should AI make approval decisions?**

Only within a clearly defined and reviewed scope. A tool can organize information or prepare a recommendation while a person retains the authority required for the decision.
