Can AI answer staff questions using our company documents?
Plan a company knowledge assistant that cites current documents, respects staff permissions, and knows when it cannot answer a policy or operations question.
Key takeaways
- Begin with one maintained set of documents and the questions staff repeatedly ask.
- Permissions must control what the assistant retrieves before it writes an answer.
- Test outdated policies, conflicting documents, and questions with no approved answer.

Yes. A company knowledge assistant can search approved documents and use the relevant passages to answer staff questions. It needs current source material, access controls, and a way to show where an answer came from. Start with one department's maintained documents before connecting the entire company drive.
Enterprise AI products are increasingly connecting assistants to internal knowledge. Google's October 2026 Gemini at Work announcement includes tools for bringing business definitions and data into agent workflows. The owner-level challenge remains familiar: deciding which information is authoritative and who can see it.
What is a useful first version?
Choose a question set that creates repeated interruptions. A service team might repeatedly ask which warranty terms apply, how to request spare parts, or where to find the latest installation checklist. Those questions have answers someone can verify.
Pick an owner for the source material. Remove superseded documents from the approved collection or label their status clearly. Give the assistant access to the smallest collection that answers the chosen questions.
The technique is often called retrieval-augmented generation, or RAG. In plain terms, the system finds relevant material and supplies it to the model while it prepares an answer. It does not guarantee that the material is current or that the answer interprets it correctly.
What should an answer look like?
Ask for a direct answer, a source link, and any condition that changes the result. If a warranty depends on purchase date and product type, the assistant should ask for those details or explain the conditional answer.
Compare these two illustrative responses:
"All repairs are covered for one year."
"The current service policy lists a one-year warranty for this product category, subject to the exclusions in section 4. I need the purchase date and fault description to check which process applies."
The second response is useful only if its citation actually supports those details. During testing, open the cited passage and verify it. A source link beside an answer is not proof that the answer follows the source.
Can it respect confidential information?
It should retrieve only documents the current user is allowed to access. Ask the supplier to demonstrate this with two test accounts that have different permissions. A receptionist and a finance manager should not receive the same access merely because they use the same assistant.
Do not upload a whole drive and rely on a prompt that says "keep confidential material private." Enforce access before the material reaches the model. Include shared folders, document copies, and cached results in the permission design.
Also test access removal. If an employee changes role, the assistant must stop retrieving the former team's restricted records. Our guide to why RAG pipelines fail explains the engineering issues behind retrieval quality.
How do we test whether it is reliable?
Build a question set with the people who own the documents:
| Test question | What to check |
|---|---|
| A common policy question | Answer matches the approved policy |
| A question covered by an old and new document | Current policy wins or conflict is flagged |
| A question with no documented answer | Assistant admits the gap and gives a contact |
| A question about another team's private records | Access is denied without disclosing the content |
| A document containing instructions to the assistant | Document text cannot override system permissions |
Include natural wording and incomplete questions. Employees will rarely phrase a request exactly like a document heading.
Is the document cleanup worth the effort?
Measure how often people ask the target questions and how long they wait for answers today. After introducing the assistant, check whether staff still need to ask a colleague, whether the cited source helped, and how often the answer needed correction.
If the same question repeatedly exposes a missing procedure, write the procedure. Otherwise the assistant will keep encountering the same gap. Budget time for the document owner to maintain the collection after launch.
Our RAG chatbot service can help define retrieval, permissions, and tests around a specific team. A source inventory and a sample of real questions are useful starting materials.
Frequently asked questions
Do we need to train a model on our documents?
Many knowledge assistants retrieve documents when answering instead of retraining a model. Ask the supplier to explain how sources are updated, removed, and protected in its proposed approach.
Can the assistant answer from spreadsheets as well as PDFs?
Potentially, but tables, formulas, and live data need specific handling. Test the questions you intend to ask and verify calculations against the underlying system.
What happens when documents disagree?
Define which source takes precedence. When that rule cannot resolve a conflict, the assistant should explain the uncertainty and route the question to the responsible owner.
